Refund and Cancellation Policy

Love Light Mental Health Counseling Services, PLLC

At Love Light Mental Health Counseling Services, PLLC, we value your commitment to the therapeutic process and the time reserved for your sessions. Because each appointment is held exclusively for you, all copays are prepaid and subject to the policies outlined below.

Our goal is to maintain fairness and consistency while supporting the integrity of your care.

🕒 Cancellations & Rescheduling

  • We require at least 48 hours’ notice for any cancellations or reschedules.
  • Cancellations made with less than 48 hours’ notice are subject to a $75 cancellation fee.
  • Clients may request one reschedule per month if the request is made at least 48 hours in advance.
  • Once a rescheduled appointment is cancelled, it will be treated as a standard cancellation and the $75 fee will apply.
  • A maximum of six reschedules per calendar year is permitted. Beyond this limit, any additional reschedules will be treated as cancellations.

If your therapist’s schedule cannot accommodate a reschedule request, the session will be treated as a cancellation, and the $75 fee will apply.

Exceptions may be granted for documented emergencies, at the discretion of the Revenue Cycle Management (RCM) office, and require approval by the Practice Owner.

💰 Refunds & Credits

  • All copays are prepaid. Prepaid funds are non-refundable once payment is received.
  • If a session does not occur due to client cancellation or reschedule, funds will remain on the account as a credit to be applied to the next session.
  • Refunds are issued only when the error is on the part of the practice (e.g., duplicate charge or scheduling error).
  • Credits never expire and may be used toward future sessions unless otherwise specified.

All exceptions are handled case by case by the Practice Manager and approved by the Practice Owner.

🧘🏽‍♀️ Workshops, Groups, and Special Programs

Workshops, therapy groups, and wellness programs follow the same 48-hour cancellation policy outlined above.
All associated payments and copays are non-refundable and, when applicable, are held as a credit toward the next eligible session or program.

This policy aligns with the Informed Consent for Psychotherapy signed at intake. By continuing therapy or wellness services with our practice, you acknowledge and agree to these terms.
